December 3, 2024 Meeting Minutes

Call to Order 6:33pm  

Roll Call - Favorite Trainer, Instructor/ Mentor

Secretary Report – Minutes Emailed by Kellyn Homa 12/3- any changes, corrections,  additions?

Treasurer’s report (attached to additional 12/3 email) – Julie Wolf - Irene & Gena  Approx: $3,000 to pay out in checks  

Tack Sale Check: $300 will be returned from Hartford for the deposit  

Committee Reports  

● Grounds Report – Kristina (chair) 

o Future Grounds Updates Needed?  

o Mower - Tractor winterized/additional expense. Can someone install locks on  the doors of the chuck wagon/office/shed. Still need to replace the door on the  shed. 

● Replacing the peak of pole barn fiberglass is the next step so electrical  can be updated. LED Lights will be added.  

o Member Winterizing day? Electrical Updates to be completed and on agenda  as it was submitted to WHC for $$ 

● Thank you Gena for organizing a clean up day for fencing. The water and  electric need to be shut off and the chuck wagon closed up.  

● The fence along the church side will need to be tightened in spring 

● The tractor has been serviced and winterized. The switch for the neutral  switch was replaced. Approx. $420 for the spindle assembly to be rebuilt.  Over the $1,000 to replace. - Chrystal makes a motion to spend $450 to fix the  spindle assembly. Kristina/ Gena seconds the motion. Mary discusses  

that the grounds need to be mowed weekly to help eliminate extra wear  

and tear on the grounds. Approved to spend the $420  

● Jacob tractor guy may have a connection to help rehome 

our current mower for more than $100.  

● Motion made by Kellyn to give the board power to a 

Accept or decline an offer on the lawn

The board has the power to accept or decline a lawn  

mower offer as long as it is over $100. Motion has passed  

● The mounting block needs to be moved to the shed for the winter.  

● Show/Event Committee – 

o Nov 10 Tack Sale Recap with breakdown - Jeannie/Julie 

● Thank you to everyone who volunteered and helped out at the tack sale.  Lots of new faces. Food was donated to the Sussex food pantry. Another  raffle will be made with the farm & fleet saddle that was donated.  

● Discussion of online raffle for over the winter selling slots. Or online  

auction.  

● Talking about having raffle and table at Waukesha tack sale to have  

saddle and applications  

● Looking at alternative locations for 2025 tack sale and may adjust hours  due to how many people attended in the first hour.  

o Ribbons and Awards for next year - preliminary budget will be set to take  advantage of the sale Hodges has over winter months 

● $4,600 for all ribbons for 2025 shows. There are pleasure, ranch and fun  show left over. This number does not reflect left overs. $170/ ranch show.  ● Chrystal would like to have $2,000 approved to do the first four shows  with discount. Laura Lenhardt makes a motion to send up to $2,000 for  

first four shows of the year. Mary Nettisheim seconds. Approved.  

● Irene Makes a motion for two pleasure and ranch shows at $300. Mary  Nettisheim. Irene amends motion to do all 8 Boarder Run show series entries for $600. All in favor. 

 o 2025 Event List - Chairing, Committee Members needed to plan, Clinic Ideas! o Upcoming shows/Events - 

- Date Set: Jan 11 The Sterling Chalet - Banquet - Kristina  

- $300 for the chalet. Plated service with 4 courses. $30/person last  

year.  

- Lunch for time at banquet 12:30 arrival with lunch at 1pm  

- Budget of $700 for the banquet. Soda, tea, coffee, tip, taxes etc.  

- Chrystal makes a motion to spend up to $700 for 2025 banquet.

● WI Horse Council – Kristina/Chrystal  

o Sponsorship Update? Confirmation of Electrical sponsorship submitted by  Kristina was $3500 - rec’d by check! 

Old Business - Tabled to be Discussed at February Meeting Due to Time Restraints

● Club Shirts and Swag Ordering 

● Garbage Collection for 2025 show season 

● Additional Port-O-Potty Rental for 2025 events

● Trail Reports - any upcoming events/rides, please share to MFSC fb page!  

New Business  

● Insurance Renewal Date/what we changed/added, pricing,etc. 

● Insurance is renewed and event dates endorsement additional $191  ● Lawn Mower Budget Setting - Tabled to be Discussed at February Meeting Due to Time Restraints

● Awards - voting for banquet year end awards - Chrystal to receive $453.40 for show award reimbursement. 2024 WHC bonus bucks are to only be used in 2024 for explicit purpose applied for per WHC bonus bucks program guidelines and was used for unforeseen award expenses due to increased show participation in the 2024 MFSC show season.

  • $3,500 in savings from WHC for use in 2025.

● Increase Membership Fees? - Get membership renewed asap at this pricing - discuss  in 2025. $40 for individual. $35 before the banquet. $50 for family $45 for the banquet.  ● Banquet Budget needed  

Please nominate and vote for club members for the banquet.

Expenses due to: Two payback checks ($70), Cash out for Tack sale change ($500), 2 tables purchased  for the 

grounds ($84.34), chili supplies for the Tack sale ($82.18), WE Energies ($28.75), and American Reliable Insurance policy 2025 renewal ($,1675).

In December – review of funds for Club insurance and Taxes: 

Club Insurance for 2025 has been paid, club owes $191 yet for event coverage Taxes due late December, 2024 – (2023 taxes were $1,726.58)
