March 4, 2025 Meeting Minutes

Call to order – 6:30pm by Kristina Michels

No new members in attendance.  Welcome back everyone!

“Tack Talk” By Anne Ullius about Sidesaddle

         Anne passed out a very lovely booklet all about sidesaddle. A wonderful and educational presentation.

Committee Reports

  • Grounds – Trickle charger is attached,

  • Show/events  

    • Ribbons ordered and should be enough for the entire season based on previous year uses. 

    • Surveys will be going out about club interest and clubs show work knowledge

    •  Border run members get points for volunteering at the shows as needed along with 4 H youth. This will be utilized throughout the year to assist out shows in running smoothly.

    • June 21/22 pleasure/speed/fun show weekend. The shows must stay the same days due to border run and DCHA show entries. 

    • Pleasure shows into a possible buckle series. High point fees should cover the fee and can get 2 free buckles with Molly’s. Doing buckles now would encourage people to attend and being a “small” show people would be likely to participate. 

      • Motion: Purchase 6 buckles for Pleasure Show Series year end buckle chase up to $800.

    • Judges update –

        • Motion to pay May 10th judge Rick Fanella up to $400

    • Drill team started on Monday nights 6:30 pm at ElConn farms

  • Bylaws 

    • New form to be found on the website and other important places. Any member can submit a change to the club email for the bylaws committee. Only concern now at this time is to update with non-profit status and sharing education with the community. 

  • Boosters 

    • Kristina shared updates

      • Draft pamphlets are set up to engage the community for passing out with sponsorship levels. 

        • $1000 sponsor by Kohler

        • 2 landscape companies interested in grounds care as long as the club's status passes to 501c3. Club does not need to look at a new mower at this moment. Signage should be ok, will get double checked with conditional use and permit needs.

  • Sunshine

    • Trick class at lunches maybe?

  • PR

    • Barns/locations list that can post show bills passed around for members to add to the list

  • WHC

    • Calendar of events and disease updates on WHC website and facebook. 

    • Volunteers appreciated at the WHC booth at MFH. Kristina can connect people if needed. 

    • Best of America is coming to WI end of May at Southern Kettle Moraine

Old Business

  • Swag

    • Print your cause allows anyone to order anything they might want. Will put our logo on the item. Members can send links out and anyone can order anytime whatever they want. They will ship it out and pay us out the markup based on what we set it at. Chrystal will have it set up hopefully by next month.

  • Garbage service

    • 2 yard with 1 per month collection. Concern that 1 per month not enough and will stink.

    • Motion for up to $60 per month during show season for garbage collection starting in May.

  • Port a potty discussion tabled to continue further research

  • Non-Profit Update

    • The club approved $500 last month and the lawyer came back saying $4500 with mostly dissolving the c7, which brought down to $2500 for data collection and could be lowered if the lawyer doesn’t have to do it. Unknown timeline if the club does it without the lawyer (3 weeks to 3 months). Club can keep c7 and have c3 with grounds transfer to c3 which is easy.

    • Motion: Pay lawyer up to $2500 for creating a 501c3 non-profit.

  • No trail updates

 

New Business

  • Website budget approval to raise March 28th from $192 to $204

    • Motion to pay the increased website fee 

Motion: Irene Lape Second: Gena Garton Approved

  • Anniversary event lead by Riley

  • Club trail ride – 

    • Menomonee Park would be best locally, trails are easy and lots of parking, possible to have Sara Dreyer head this event. Meno park trails made by the club members by going door to door.

  • Mary N for a future meeting educational section

  • Committee budget forms – 

    • Form from WHC to track committee budgets to help with budget planning for the future.
